Your Specific Responsibilities:

The incumbent in this position performs complex administrative duties for the board office. This individual performs assignments that require a high level of independent judgment, with an attention to detail, completed within specified timeframes. The incumbent must be able to interpret Florida laws and rules. This position is supervised by the Executive Director.

Creates agendas and prepares meeting materials within the electronic agenda building system for six health care boards and provides agenda support for three department regulated licenses. Ensures proper redaction of confidential material contained within meeting materials for publication in public documents. Prepares public book for publishing on board websites at least seven days prior to noticed meetings. Coordinates website reviews for all professions, including confirming completion of quarterly reviews.

Prepares minutes following each board meeting within a 10-day timeframe. Ensures accuracy in reporting, completes an editorial review of the minutes, and provides to the Program Operations Administrator for final review. Prepares post meeting checklist and distributes.

Serves as the meeting liaison with the Bureau of Operations. Responsible for providing meeting set-up forms, sleep room lists, and court reporter needs. Prepares meeting notices for publication in the Florida Administrative weekly. Posts meeting information on website at least seven days prior to noticed meetings. Prepares travel authorizations for board members and staff. Maintains board member and committee lists as well as interested parties lists for unit professions. Notifies interested parties of location and meeting date of board meetings. Communicates with board members, other state agencies, and the general public to answer questions relating to board meeting procedures. Schedules and attends pre-board and board meetings as needed.

Responsible for notifying respondents, applicants, and their respective counsels of board appearance dates and ensuring that notification is completed within the required timeframes. Assists with assembling administrative complaints, stipulations and final orders for signature by the Executive Director. Efficiently files orders with the Department Clerk for filing and distribution. Coordinates with Attorney General paralegals to track rulemaking.

Assists with training of receptionist positions. Responsible for updating the Board Meeting Costs Report located on SharePoint. Assists with special projects for the office.

Performs other related work as required to maintain an efficient office which responds promptly to the needs of the licensees, applicants, the legislature, other areas of the Department and to the public.

Team Lead Duties: Serve as a subject matter expert and Agenda 2.0 'champion' to the bureau. Responsibilities include conducting trainings and providing ongoing support to administrative staff and supervisors within the board offices in HCPR. Areas of focus include Agenda 2.0 functionality, agenda development, public noticing, purchasing, travel authorizations, and reimbursements. Advise leadership on process improvements to enhance efficiency. Actively participate in any relevant workgroups related to these activities.

Incumbent will assist other board offices within the bureau if they have vacancies for their agenda building or administrative position(s); the incumbent will need to step in to ensure all agendas, public books and materials are accurate and published timely in compliance with Chapter 120, F.S. Once the vacancy is filled, the incumbent will be responsible for training in Agenda 2.0, STMS, Works, as well as electronic processing of Final Orders following any board meetings. This requires the incumbent to be proficient with these systems, able to communicate efficiently with supervisors in multiple board offices, as well as multitask and prioritize with conflicting deadlines for each office.

Qualifications:

 

Preference will be given to those who meet the following minimum requirements:

 

High School Diploma or equivalent AND 2 years administrative experience that includes data entry, document preparation, computer software use, travel arrangement preparation, and/or personnel and budget review. College education can substitute for the required experience on a year-for-year basis).

 

Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), iBuilder, iViewer, Adobe Acrobat, and LEIDS systems.
