Our Organization and Mission:

 

The Division of Service Operations manages the Central Intake and Licensure unit, the one-stop shop for intake of applications and payments. The Division also oversees the Customer Contact Center (CCC), which handles all initial interaction conducted via telephone and e-mail. 

The Work You Will do :

This position is responsible for performing the more complex licensing activities which includes determination of applicant eligibility for examination, certification, licensure or registration for various professions within the department. The incumbent in this position performs the following work and other related activities:

 

Your Specific  Responsibilities:

The staff member in this position serves as a cashier.  This position will also serve as a Subject Matter Expert for the Revenue Unit on depositing and cashiering matters. The incumbent in this position performs the following work and other related activities:

  • Timely deposit batches in the document imaging and single licensing systems. This includes all payments physically received by the bureau.  Verify all information is accurate and reconciled prior to depositing.
  • Scan, quality review, reconcile, and submit all remittances electronically to the department’s financial institution.  Prepare physical deposits that need to be physically deposited offsite.  Ensure that all validations are completed timely and accurately.
  • Reconcile deposits from treasury.  Dispose of retained remittances after they have reached their 90-day retention requirement.      
  • Review documents within the document imaging system and ensure that they are correctly indexed and profiled.  Ensure that all documents profiled and records created or updated in the single licensing system are done so correctly and in accordance with established processing guidelines.   Ensure that all validations are completed timely and accurately. 
  • Serve as backup representative at the Customer Service Window:
  • Welcome walk in customers of the Department.  Answer questions regarding the application process for CIU applicants.  Accept applicant paper submissions to deliver to the Mail Intake Unit for profiling.  Profile applications for walk in customers when they need their fingerprints scanned in person.  Take payments for customers with open payment expectations.  Instruct customers how to use our online services available in CSW to submit an application and make payments.  Connect customers with the proper offices or boards if not handled by CIU.  Secure money in safe until transported to the Revenue window and secure signed record of hand off.     
  • Participates in meetings and attends training sessions as scheduled. Participates in the testing of new application software and changes in processing procedures. Reports events, errors or trends to supervisor.
  • Performs other related duties as required.

 

Knowledge, Skills and Abilities

  • Knowledge of the Department’s single licensing system
  • Knowledge of the Department’s Document Imaging System
  • Proficient ability in Microsoft Word and Excel
  • Ability to plan, organize and coordinate work activities.
  • Ability to communicate effectively and efficiently both verbal and written.
  • Ability to establish and maintain effective working relationships with others.
  • Basic Internet research and navigation.
  • Basic writing and grammar skills.

 Minimum Requirements:

  • Must have at least two (2) years of customer service experience; and
  • Must have one (1) year of Microsoft Office Experience; and
  • Must have data entry experience; and
  • Must have experience profiling and validating documents/applications in the department's single licensing system (Versa Regulation) and using the department’s document imaging system (OnBase).
