Your Specific Responsibilities:
This position is responsible for supervising regulatory staff within the initial licensure unit in the Florida Board of Medicine. It primarily oversees all professions for initial licensure as a medical doctor, physician assistant, and an anesthesiologist assistant.
The specific duties and responsibilities of the position include:
- All supervisor duties for five (5) Regulatory Specialist II positions. This includes, but is not limited to, hiring and selection, developing performance plans, conducting performance appraisals, planning, and directing their work, approving leave, and taking disciplinary action as appropriate. It also includes the responsibility for ensuring staff receives necessary training, that staff meetings are conducted on a regular basis, and that effective methods are utilized for optimal communication;
- Assists with the development of laws and rules, applications and forms related to initial licensure;
- Supervises staff responsible for processing initial applications and mail for all licensing professions in the Board of Medicine. This includes monitoring staff performance, performing background checks, ensuring deadlines are met, making changes in LEIDS, processing applications if necessary and issuing refunds as appropriate;
- Assists in coordinating the preparation of meeting agendas;
- Schedules applicants to appear before the Credentials Committee, Council on Physician Assistants, and Anesthesiologist Assistant Committee for determination of eligibility for licensure;
- Responds to applicable zzzz mailboxes;
- Creates responses to letters from the public and/or applicants for Governor, State Surgeon General, and/or the Board of Medicine’s Executive Director’s signature;
- Conducts research and prepares statistical and other data reports relating to initial licensure, discipline, budget and other functions of the board;
- Researches laws, rules and regulations in preparing correspondence for the Governor, Secretary of the Department, Board Chairman, Executive Director and Program Administrator;
- Conducts research of policy issues pertaining to Federation of State Medical Boards, other state medical boards, medical societies, etc.;
- Ensures intake and referral of inquiries to the office are handled with optimal customer service and that receipt, recording and distribution of mail is accomplished timely and accurately;
- Participates in the Board office management and leadership team;
- Represents the Board and the department at meetings as needed and makes presentations related to projects;
- Handles special projects and activities as assigned, coordinates functions with other team members as needed, and performs other related work as required including serving on process improvement teams and other work groups.

- Ability to learn and utilize job-specific software such as LEIDS and AxiomPro and office equipment such as phones, fax machines, scanners, and copiers;
- Knowledge of personnel management and use of personnel resources;
- Knowledge and proficiency of Microsoft Office software;
- Knowledge and proficiency in using Windows-based computers.
Qualifications:
Preference will be given to those who meet the following minimum requirements:
- High School Diploma or equivalent AND 2 years administrative experience that includes data entry, document preparation, computer software use, travel arrangement preparation, and/or personnel and budget review. College education can substitute for the required experience on a year-for-year basis).
- Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Agenda 2.0, Adobe Acrobat, and LEIDS systems.
