Job Description

This position will be responsible for providing support services within the Bureau’s Dispute Resolution and Monitoring (DRM) section, as well as throughout the bureau as requested.

 

Examples of Work

  • Assists in reviewing requirements for the design of various publications, documents and forms using Microsoft Office Suite
  • Assists in telephone answering, maintains current knowledge of equipment usage and assists in maintaining supplies
  • Maintains and updates lists and address labels for section
  • Assist in coordinating communications and scheduling to support a variety of bureau required activities
  • Communicates electronically with offices within the department; reading, printing and transmitting incoming and outgoing messages sent through email and transmitting documents and materials when requests are received
  • Researches and summarizes materials for professional staff for conferences and meetings; assists in setting up meeting rooms prior to presentations to include technical and conference call equipment
  • Creates, updates, tracks and maintains data systems in Excel and in other bureau specific systems
  • Other duties as assigned

 

Knowledge, Skills and Abilities

  • Knowledge, skills and abilities, including utilization of equipment, required for the position:
  • Knowledge of correct spelling, punctuation, and grammar usage;
  • Knowledge of letter and report formats;
  • Knowledge of Microsoft Word, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Excel;
  • Knowledge of Section 508 compliance requirements for published documents;
  • Knowledge of travel procedures;
  • Knowledge of grants management processes;
  • Skill in operating desktop computer systems and applications, including Microsoft Word, Microsoft Outlook and Microsoft PowerPoint;
  • Ability to type letters, memoranda, charts, and other standard business forms in correct format;
  • Ability to prepare documents to meet Section 508 compliance requirements;
  • Ability to proofread typed material for typewritten and grammatical errors and to make necessary corrections;
  • Ability to plan, organize and coordinate work assignments;
  • Ability to communicate effectively, in writing and orally; and
  • Ability to proactively establish and maintain effective working relationships with others.

BACKGROUND SCREENING REQUIREMENT
