MINIMUM REQUIREMENTS:
A high school diploma or its equivalent and one (1) year of secretarial or clerical work experience.
College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for the required work experience.
Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for the required work experience.

NOTES:

The incumbent will work a total of 30 hours per week within the hours of 7:00 a.m. and 5:30 p.m.
JOB DUTIES:
Creates employee identification badges for employees and other authorized personnel. Communicates with badge requestors and/or supervisors to resolve issues and/or obtain missing information on badge requests. Processes badge requests in the Cherwell system. Ensure badge requests have proper approvals and/or required documentation before processing requests. Ensures photos adhere to guidelines as outlined in Administrative Policy and Procedure 4-20.
Coordinates issuance of badges for field staff and ensures acknowledgement forms are returned timely. Ensures each badge request is complete, accurate and all required documentation is attached before requests are closed.
Assists bureau staff with daily administrative duties, assists bureau staff with creating labels and file folders, and prepares various documents for filing. Prepares vehicle logs for entry into the FLEET Management Information System, completes WEX card reconciliation and files logs once entered in the FLEET system monthly. Prepares, prints and distributes vehicle logs to bureau sections yearly.
Survey’s agency divisions and offices for surplus property available for disposition via the contracted auction vendor website (or other authorized websites) and obtains authorization of eligibility from the Property Office in the Bureau of Finance and Accounting. Assembles information and photos for placing advertisements on the contracted auction vendor website (or other authorized websites) from the surplus property owner. Uploads surplus property ads to the website and designates the length of the sale listing. Answers inquiries from prospective buyers. Verifies receipt of funds, after the auction closes, and arranges transfer of surplus property to new owners. Conducts monthly reconciliation of transactions for completed auctions with the auction vendor as applicable.
Assists with digitizing bureau and division records. Properly routes all bureau office mail received and assists bureau staff with sending out mail. Serves as back-up for routing all Mayo Building mail to the appropriate mail stop.
Receives and saves visitor logs, receptionist staffing logs and badge making logs on the bureau shared drive weekly. Ensures logs are complete and researches any missing information, if needed. Makes copies of various logs and maps for front desk security guards when stock is depleted. Serves as back-up for the front desk security guard for the Mayo Building.
Performs other related duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Ability to work with Microsoft Office, such as Word, Excel, and Outlook.
- Ability to follow Verbal and Written Instructions.
- Skilled in use of general office equipment such as personal computer, calculator, scanner, fax, and photocopier.
