POSITION DESCRIPTION: Maintains incoming mail count sheet, and the incoming tracking system. Sorts, Distributes, and delivers courier packages (FedEx, United States Parcel Services, United States Mail, United States Express/Certified Mail) for the Central Office and the Districts. Responsible for distributing, collecting, and dispatch of mail in the Department of Transportation Central Office Mail Center and delivers internally throughout the department twice a day.

 

Checks mail, operates mailing machine and postage scale to determine and provide information as to the correct postage, to includeUnited States Certified Mail, as well as determine the most economical means of sending documents and/or other parcels (i.e., United States Mail vs FedEx, United States Parcel Services, ect.) Evaluate and process the Department's bulk mail to determine eligibility.

 

Utilizes shipping terminals by making complete and accurate entries.

 

Research inbound and outbound packages for destination receipt and respond to damaged or missing package inquiries. Responsible for copying and scanning large documents as needed.

 

Provide backup to Motor Pool by assisting customers with local and/or out of town transportation needs, and perform vehicle inspections twice per day. Serve as back up to deliver certified mail to the State Agency Mail Hub and United State Post Office. Process all reports and prepare various emails associated with Central Office Center/Motor Pool.  

 

KNOWLEDGE, SKILLS, AND ABILITIES: Ability to understand current postal regulations. Ability to understand basic courier services and restrictions. Knowledge of office procedures and practices. Ability to understand motor pool procedures and guidelines. Skilled in excellent customer service to include dealing with internal customers and the public in a tactful and courteous manners. Skilled in the use of personal computers using Microsoft Excel and Microsoft Word. Ability to communicate clearly and effectively and convey ideas- both verbally and in writing with co-workers, customers, and management. Ability to plan, organize, and conduct activities with minimal supervision and perform work in a timely, efficient, effective, and professional manner. Ability to greet customers by phone or in person in a calm and effective manner. Ability to work independently. Ability to establish and maintain effective working relationships with others. Ability to lift packages weighing up to 50 lbs.

 

MINIMUM QUALIFICATIONS: Valid class E driver’s license. High School Diploma or equivalent and two years or clerical work experience. Ability to lift 50 pounds. College education at an accredited institution can substitute for one year of the required work experience.
