The Work You Will Do:
Staff Assistant / Support Services / Office of Administration
This position will support event coordination, which include monitoring meeting reservations, furniture/room setup & breakdown, parking coordination, directions, and signage. Provide customer service checking in visitors at the security (front) desk and escort visitors to meetings and offices as needed. Monitor facility surveillance cameras and perform walking patrols of the interior & exterior of the building, and parking lots. Answer the FDOT main switchboard as needed for the Operator’s breaks & leave.

Your Specific Responsibilities:
Provide professional customer service to visitors and guests of the Department of Transportation (DOT) as part of the Guest Services and Security Section of the Support Services Office. Check in visitors using the electronic Guest Management System, issue visitor ID badges, and monitor visitor access according to established protocols. Contact staff to escort guests and personally escort visitors to meeting locations as needed. Support administrative tasks related to customer service and building access. Assist with event coordination by preparing meeting spaces, ensuring audiovisual readiness, and supporting scheduled events in the auditorium or conference rooms. Serve as a point of contact for guest needs before and during events.
Serve as the primary backup receptionist for the main DOT switchboard during scheduled lunches, breaks, annual and sick leave, or as otherwise required. Receive, screen, and route all incoming calls to the appropriate office, district, employee, agency, or organization.
Act as primary backup for the Facilities Work Order system by reviewing, reporting, and communicating access or security-related issues to the appropriate personnel. Coordinate and assist with scheduling, approving, and maintaining the auditorium and shared meeting space calendars. Support internal events by confirming room setups, coordinating facility needs, and communicating updates to the Support Services Office and the Central Office Facility Manager.
Assist with planning and coordinating internal events, meetings, and special functions held within the facility. Responsibilities include coordinating room reservations, assisting with logistical planning, preparing event materials, and ensuring spaces are set up according to event requirements. Provide onsite guest services during events, including greeting attendees, offering directions, troubleshooting minor space or setup issues, and ensuring a positive guest experience.
Assist with emergency building and security activities, including contacting 9 1 1 in the event of a security or medical emergency. Use radio communication to notify the unit supervisor and management team during urgent situations. Serve as a member of the building evacuation team and operate the fire alarm panel as required. Support records management for Building Access Request forms, Temporary Employee Access card logs, Security Guard logs, and Lost & Found logs. Maintain inventory of items received by the security desk and Support Services Office.
The Successful Candidate will have the following required Knowledge, Skills, and Abilities:
Ability to provide professional customer service and reception support to visitors, guests, and employees. Ability to operate visitor management systems and follow building access protocols. Ability to manage multi‑line phone systems and route calls accurately. Ability to coordinate events, meetings, and room reservations. Ability to prepare meeting spaces and support onsite event logistics. Ability to maintain accurate logs, records, and documentation. Ability to communicate clearly and professionally in person, by phone, and in writing. Ability to respond calmly and appropriately during emergencies and assist with evacuation procedures. Ability to collaborate effectively with coworkers, security staff, and facility managers. Ability to organize tasks, manage multiple priorities, and adapt to new technologies.
Minimum Qualifications:
Valid class E driver’s license. High School Diploma or equivalent and two years or clerical work experience. College education at an accredited institution can substitute for one year of the required work experience.
