Duties and Responsibilities 

  • Daily preparation and depositing of departmental receipts annually, including journal transfers and bank deposits.
  • Code and enter deposits into the appropriate accounts in the Florida Accounting Information Resource (FLAIR). 
  • Monitor unreconciled deposits via the Unreconciled Deposits Report in Florida PALM (Florida Planning, Accounting, and Ledger Management) and the Cash Receipts Utilities (CP) screen in FLAIR. 
  • Audit and distribute Clerk of Courts Revenue received from Dept. of Revenue, daily. 
  • Assign deposit numbers for the Highway Safety Operating Trust Fund (HSOTF) and preparing/entering transactions for amounts due from Tax Collectors, Private Tag Agencies, and Agency Field Offices.
  • Reconcile credit card and ACH payments against the NIC payment system, PayIT and, Catalis daily reports.
  • Process access requests/changes to the Cash Receipt System (CRS), and quarterly review of system access.
  • Performs other duties as assigned.

 

Knowledge, Skills, and Abilities

  • Knowledge of State of Florida accounting policies and procedures.
  • Knowledge of reconciliation procedures.
  • Skill in communicating effectively with internal and external customers, verbally and in writing.
  • Skill in processing transactions in FLAIR.
  • Skill in auditing, reviewing, reconciling, or analyzing data for compliance with regulatory requirements, policies, and procedures.
  • Skill in preparing and maintaining a variety of accurate and complete accounting reports.
  • Skill in Microsoft Office applications including Word, Excel and Outlook.
  • Ability to work in a fast-paced environment and manage completing deadlines.
  • Ability to multitask and prioritize.
  • Ability to use sound judgment to identify problems, generate and evaluate alternative solutions, and make recommendations.
  • Ability to perform mathematical calculations.
  • Ability to work well independently yet cohesively within the section to maintain internal control measures.

 

Preferred Qualifications

Preference will be given to candidates with the following:

  • Experience in processing transactions in FLAIR (i.e., CR -Cash Receipts, CP – Cash Receipts Utilities)
  • Experience processing deposits, refunds and payments.
  • Experience performing data entry and/or maintaining databases and spreadsheets
  • Two or more years of financial reporting experience
  • Experience in customer service.
  • Experience composing professional written correspondence.

 

Job Related Requirements

  • The position you are applying is subject to a Level 2 background check, along with Criminal Justice Information System (CJIS) clearance, to include a fingerprint-based check of the criminal records of the FBI, as a condition of employment pursuant to Chapter 110.1127, 435 and 943, Florida Statutes.  Please note that, since this position requires CJIS clearance, the Department will have access to all an applicant’s criminal and juvenile delinquency records, even those that have been sealed or expunged.

 

General Information

  • The elements of the selection process may include a skill assessment and/or oral interview. 

  • Applicants being considered for employment will be required to submit to a fingerprint-based background investigation, which will include a check of the criminal history records of the FBI.  Fingerprints and associated information/biometrics will be retained in the FBI’s Next Generation Identification (NGI) system and fingerprints may continue to be compared against fingerprints submitted to or retained by NGI. 

  • FLHSMV employees are paid once a month on the last workday of each month.  All state employees are required to participate in the direct deposit program pursuant to s. 110.113 Florida Statutes.
