What you will do:

This is work providing high-level administrative support to the Background Screening Program Director, by conducting research, preparing reports, handling information requests, assisting with program management, assisting constituents, and performing administrative and clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. This position works independently and in teams to accomplish objectives established by the Department's Mission: to work in partnership with local communities to protect the vulnerable, promote strong and economically self-sufficient families, and advance personal and family recovery and resiliency.

Typical duties for the Background Screening Unit, Staff Assist Position include:

 

  • Performs Administrative Activities by approving requests, handling paperwork, and performing day-to day administrative tasks for the Director.
  • Effectively manages the executive office as well as the calendar and daily flow-of-business for the supervising executive as indicated.
  • Manages all travel, meeting, and purchasing activities as indicated by coordinating and completing administrative processes associated with them for the managing executive and his/her immediate executive circle and direct reports as indicated.
  • Manage the inventory of and coordinate the purchasing of supplies and distribute to staff, as appropriate.
  • Responsible for assisting with office scheduling and time management activities, and for maintaining office calendars and coordinating schedules with office staff.
  • Assembles and summarizes information from files, documents, or other sources for use by the professional staff.
  • Assists the Director with special projects to maintain efficient operation.
  • Effectively coordinates intraoffice and interoffice communications and collaborations as indicated.

 

 

Minimum Qualifications:

  • Two years of secretarial or clerical work experience.
  • College education can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.
  • Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.
  • A high school diploma or its equivalent can substitute for one year of the required work experience.
