Position Overview and Responsibilities:
Assists with the maintenance of the Bureau of Public Land Administration file room. Independently coordinates, conducts, organizes, evaluates, researches the review of historical files and scan to OCULUS for permanent retention.
Assists the Bureau with the following: processes tax notices received from State Lands Title section; monitors the applications in-box (through Outlook); enters application data into Integrated Land Management System (ILMS); prepare money deposit form(s) for application(s), leases, and easement fees and submits money deposit form to DSL Revenue section and noticing requirements per Statute.
Assists in fulfilling the Division’s noticing requirements, including maintaining noticing contact lists, preparing correspondence, sending notices and maintaining files to insure receipt of documentation.
Provides administrative support to staff to include but not limited to: receiving and distributing mail; shipping packages; recording, tracking, and reporting assignments; setting up meetings, making room and conference phone line reservations; scheduling and maintaining calendars; tracking the correspondence control assignments and ensuring timely submittal of responses; making travel arrangements; providing file research and organization and records retention support, assisting with property inventory tracking, providing backup support to division main phone lines and answering telephone calls in a professional, courteous and effective manner and accurately transmitting information to the appropriate staff. Provides assistance with supplies, and space and equipment needs.
Provides assistance with Bureau correspondence and documents in both electronic and paper formats, including prepping and scanning files.
Performs other duties and special projects as assigned.
Required Knowledge, Skills, and Abilities:
Knowledge of: standard business formats and styles for letters and business forms; office procedures and practices; the principles and techniques of effective communications; the methods of data collection. Skill in: using a computer. Ability to: organize files and other records; compile and analyze data for administrative decisions; organize and maintain records management systems; to perform basic arithmetical calculations; use correct spelling, punctuation, and grammar; type letters, memoranda and other standard business forms in correct format; operate general office equipment; handle telephone calls in a courteous and effective manner; plan, organize and coordinate work assignments; communicate effectively; establish and maintain effective working relationships with others; demonstrate teamwork; maintain a valid driver’s license.
