Job Description

This position entails advanced secretarial responsibilities that include duties of an administrative nature which involve the employee in facilitating the operation of the Bureau of Edcuator Recruitment, Development and Retention. The responsibilities include: production of documents, correspondence, procedures, and services; assisting in planning, coordinating, and implementing support services; maintaining spreadsheets; and assisting in monitoring accuracy of assigned content on unit supported websites. The employee’s time and effort are assigned to a dedicated function as is indicated on the monthly payroll.

 

Duties and Responsibilities

(Note: The omission of specific job duties does not preclude management from assigning specific duties not listed herein if such duties are a logical assignment to the position.)

The Florida Department of Education (FDOE) has an open position that is responsible for executing the following functions:

 

  • Assist in coordinating and implementing unit events, including trainings, webinars, conference calls, and technical assistance workgroups.
  • Update spreadsheets related to unit work and assist in monitoring accuracy of assigned content on unit supported websites, assisting in providing content updates and edits to website support staff as assigned.
  • Prioritize, type, proof, and review finished products for grammatical and typewritten errors and/or pre-established formats and department correspondence procedures.
  • Assist in the development of general correspondence, input forms and reports; letters for the Commissioner’s, Chancellor’s, Deputy Chancellor’s or Bureau Chief’s signature, agendas and related conference materials; type final copy using word processing programs.
  • Prepare memos & paperless communication documents as assigned.
  • Assist other unit personnel as assigned and assist in monitoring bureau phone services.
  • Assist in preparation and processing of travel documents for non-DOE and DOE travelers as assigned according to Bureau and Department regulations.
  • Perform other duties and responsibilities as assigned by the Program Director and/or Bureau Chief.

Knowledge, Skills, and Abilities

 

  • Ability to prepare and maintain a variety of accounting records
  • Knowledge and use of correct spelling, punctuation, and grammar. 
  • Knowledge of letter, report and tabular formats. 
  • Skill in typing and operating word processing equipment. 
  • Skill in using Microsoft Office applications. 
  • Ability to word process and type letters, memoranda and other business forms in correct format.  Knowledge of general office procedures. 
  • Ability to plan, organize and coordinate work assignments. 
  • Knowledge of procedures for processing DOE travel authorizations and reimbursement forms and processing My Florida Market Place purchase orders. 
  • Strong communication skills and customer service skills.

 

Minimum Qualifications:

 

  • Ability to communicate effectively including verbal and written communication.
  • Experience with public speaking
  • Ability to provide work samples of writing skills for grammar, editing and communication review.

 

Preferred Qualifications

 

Preferences will be given to applicants who have excellent writing skills, presentation experience and an educational legal background.

LEAVE INFORMATION:

    • Annual Leave - All full-time Career Service employees filling established positions earn annual leave in varying increments dependent upon years of creditable service. Employees with up to 5 years of creditable service earn 8.667 hours per month, with 5 to 10 years earn 10.833 hours per month and those with over 10 years of service earn 13 hours per month. Employees in Senior Management Service and Selected Exempt Service positions are credited with 176 hours of annual leave upon appointment. In subsequent years, the annual allotment is credited on the anniversary date of the initial appointment.
