HIRING SALARY RANGE: $1,472.99 - $1,906.22/biweekly range

The Work You Will Do:
Staff Assistant / Support Services / Office of Administration
The Staff Assistant supports the FDOT Central Office Mail Center by processing mailing and shipping invoices, ensuring accurate charges, and maintaining an invoice tracking system to support timely payments and budget monitoring. The position assists with gathering data for weekly and monthly reports, research delivery records, and responds to inquiries about damaged or missing packages. Responsibilities also include maintaining supply inventories, ordering postal and courier-related materials, and managing Purchasing Card records. The Staff Assistant provides customer service support and serves as backup to Motor Pool operations, including occasional travel to the Midway Maintenance Shop when needed. This role requires strong organizational skills, attention to detail, and the ability to work independently while supporting daily Mail Center operations.

Your Specific Responsibilities:
Review and Process the Department’s mailing and shipping invoices for payment, including all District invoices for contract couriers. This includes maintaining purchasing card records, ensuring that correct charges are applied to each invoice and are in accordance with appropriate contract documents.
Maintain invoice tracking system in Microsoft Excel for ensuring timely payment of invoices and to accurately monitor budget.
Gather supporting data for various weekly and monthly reports. Assist the Office Operations Supervisor II in compiling these reports.
Research records and packages for destination receipt and respond to damage or missing package inquiries.
Maintain a current inventory supply and order necessary supplies through appropriate couriers and
Vendors, including ordering postal equipment supplies.
Provide backup to Senior Clerks to Motor Pool customers in daily functions as needed, including driving to the Midway Maintenance Shop if required. Assist as necessary to support operations in the Document Control Section.
The Successful Candidate will have the following required Knowledge, Skills, and Abilities:

Minimum Qualifications:
Two (2) years of administrative or clerical experience. Secondary education from an accredited college or university can substitute on a year-to-year basis for the required experience. Must possess a valid Class E Driver’s License.
