Annual Salary Range:

Your Specific Responsibilities:

 

This position will process and monitor compliance reports that are received from the consultants and Department field staff.

 

Incumbent must determine that all necessary field information is available to make a regulatory decision.

 

Incumbent is responsible for ensuring compliance records are accurate and up to date. 

 

Assist Supervisor with administrative activities including processing and following up on regulatory notices, including those with violations and pre-violation correspondence, and assist respondents through the regulatory process.

 

Incumbent is responsible for processing these tasks in a timely and accurate manner while ensuring all records are accurate and reflect the current assignment and status of cases with appropriate documentation in the appropriate Department system. 

 

Assist the Outdoor Advertising program management with illegal sign removal coordination. 

 

The incumbent will prepare removal packages, track removals, send invoices and pre-collection notices and packets post sign removal.

 

Deposit all payments received in the Outdoor Advertising and the Vegetation.

Management Program and ensure the deposits are made in compliance with Department processes.

Ensure all records of payment are entered into the appropriate Department System in a timely manner.  Process refunds as necessary. Also, track and maintain mitigation spreadsheets and provide the updated spreadsheet monthly to the appropriate district offices, processing through the Financial Management Office all approved contractor invoices.                                         

Assist with the Right of Way Training Program as needed.  Including, but not limited to preparing training materials; ordering all necessary training program supplies; inputting all training data and course completions in the department systems; creating and maintaining individual training files in digital format.

Assist with processing permit applications and issuance of new permits in accordance with statutory requirements.

Handle all mail distribution for Office of Right of Way.

Assist management in conducting quality control reviews on outdoor advertising processes to ensure accuracy and compliance with the laws and rules and take necessary corrective action.

Perform computer data entry for Outdoor Advertising program and generate reports from the computer data that are needed for the administration of the program.

 Prepare correspondence.

The incumbent must work with others in the Outdoor Advertising program area to ensure that correspondence is accurately and timely prepared before being sent.

Assign regulatory inspectors and work assignments to Department field staff and consultants and assist with sign removals.

 Provide assistance to other staff members as needed and perform other related duties as required.

 

The Successful Candidate will have the following required Knowledge, Skills, and Abilities:

Knowledge of general accounting principles.

Knowledge of outdoor advertising regulatory requirements.

Working knowledge of Microsoft Office Products: Excel, Word, Power Point.

Knowledge of database maintenance and document image storage.

Skilled in using typical office machines such as scanners, faxes, and copiers

Ability to effectively communicate both verbally and in writing.

Ability to work and coordinate productively and professionally with other staff and offices to accomplish goals.

Ability to provide excellent customer service.

Ability to analyze and interpret data.

Ability to be proactive and work independently.

Ability to operate a personal computer.

 

Other Job-Related Requirements:

This position will be required to respond before, during and following emergency situations.

 

Minimum Qualifications:

A high school diploma or its equivalent and two (2) years of relevant professional or technical experience in administrative and regulatory work.
