Your Specific Responsibilities:
This position reports directly to the Equal Opportunity Manager. The position performs professional administrative work on an independent basis by assisting staff in the Office of the General Counsel, Equal Opportunity Section (EOS) and as needed to the Office of the General Counsel. This position works independently in making decisions and obtaining solutions to problems, issues, and other matters that fall within policies and procedures, rules and laws relating to the Florida Department of Health (Department). This position comes in contact with all levels of Department staff and must establish and maintain an effective working relationship.
Proofreads internal investigative reports, external responses, letters, forms, and memorandums, etc. and distributes approved correspondence to appropriate parties.
Creates physical and electronic case files.
Maintains EOS case status report.
Receives, screens, and routes telephone calls and ensures there is sufficient telephone coverage when absent from desk.
Monitors and reviews informaton contained in the EOS’ ZZZZ feedback mailbox and routes to EOS and Department staff.
Receives, reviews, and routes incoming correspondence to appropriate EOS staff. Additionally, ensures all outgoing mail is delivered appropriately and in a timely manner.
Performs general services functions for the EOS such as preparing purchase requisitions and purchase orders; orders supplies; acts as a purchasing card cardholder; reconciles monthly P-card charges; arranges for maintenance and repair of all office equipment, telephones, computers, and building fixtures; records property management and inventory.
Copies and scans EOS case files.
Assists with maintaining EOS files (e.g. filing retrieving, preparing for records storage), maintains EOS external website, internal Sharepoint site, etc., maintains and formats all EOS policies and routes to appropriate parties for signatures and approval, maintains and updates EOS’ EO Coordinator’s list, assists in updating and disseminating EOS posters, notices, etc. upon request to internal and external customers, maintains internal and external directory listing of the EOS.
Performs other related duties as requested.
