POSITION DUTIES AND RESPONSIBILITIES:

The incumbent in this position serves as the receptionist for the Office of the Secretary.

Greets and directs people to appropriate meeting room; answers incoming telephone calls and routes calls to the appropriate staff member and/or takes accurate messages and delivers in a timely fashion. Receives, sorts, and distributes incoming mail.

Provides general secretarial support to the office to include, but not limited to, copying, and scanning documents; maintains conference rooms, reception area and supply room by keeping them neat and orderly; ensures copier has paper in all trays and extra supplies are on hand; assisting in conducting daily administrative activities and/or special activities,

 

Serves as the back-up to the two Executive Assistants (EAs) in the suite as well as provides administrative support in support of the EAs to the following secondary offices: Education, Human Trafficking Intervention, Postsecondary and Workforce Education, Communications, Legislative Affairs, Special Projects, and Youth and Family Advocacy. This includes but is not limited to travel requests and reimbursements, special projects, and other administrative functions.

Assists with conducting annual property inventory for the Office of the Secretary and secondary offices.

Serves as the SkillPro Training Coordinator for the Office of the Secretary and secondary offices.

Assists the EAs in fiscal, purchasing, general services and Human Resource duties and functions.

Performs other related duties as assigned.

 

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of office procedures and practices.  Skill in typing and data entry. 

Knowledge of Microsoft Word, Microsoft Excel, and Outlook. 

Ability to operate general office equipment. 

Ability to communicate effectively and work independently.

Ability to establish and maintain effective working relationships. Must be dependable.

Knowledge of state purchasing systems and the state travel request and reimbursement system.

 

PREFERRED MINIMUM REQUIREMENTS:

Preference will be given to candidates that are proficient in Microsoft Office (Word, Excel, PowerPoint and Outlook).

Experience in AOD/MFMP and a minimum of three years of office and or secretarial experience.

A bachelor’s degree from an accredited college or university can substitute for the required experience.

A certificate in secretarial/clerical training can be substituted for one year of the required experience.

 

SPECIAL NOTES:

This is a full-time career service position.

The incumbent will be required to work Monday through Friday, 8:00 a.m. to 5:00 p.m.
