600932024 - Grant Management Staff Assistant - OPS

Hourly: 22 per hour

JOB DESCRIPTION:

The Florida Department of Children and Families has an exciting opportunity for a Grant Management Staff Assistant to join a developing team of Grant and Contract Managers. This position reports to the Grant/Contract Manager Supervisor and provides service to team members within the unit.

 

DUTIES & RESPONSIBILITIES:

This position provides administrative, support to Grant and Contract Management staff  support of these positions include: processing invoices, requisitions, purchasing card charges, and other administrative paperwork; assisting with the procurement of commodities and services; maintaining and organizing both paper and electronic files; mailing documents and packages; managing routine office equipment and services assisting with budget tracking and planning; compiling, reviewing, and processing equipment tracking forms; scheduling meetings; responding to internal staff and external providers as appropriate; providing assistance to other sections/offices/divisions; and completing other duties as assigned or needed. May require Travel with Grant and Contract Mangers on Site Visits to assist staff with administrative functions as needed, as well as attend regional and divisional meetings and various trainings as necessary. Performs other duties as required. The employee will research and respond to special operational projects assigned by the Chief of Contracts and Grant and Contract Management Supervisor. Projects must be completed within established timeframes and accurately address the issue or concern of the requests and perform other duties as assigned.

 

Required Knowledge, Skills, and Abilities: 

· Proficient in Microsoft Office applications, including strong skills in Excel and Word (notetaking and document preparation).

· Skilled in data entry and typing with accuracy and attention to detail.

· Ability to plan, organize, and coordinate work assignments efficiently.

· Excellent telephone etiquette with a courteous and professional manner, consistently providing outstanding customer service.

· Well organized, punctual, and demonstrates a cooperative and professional attitude.

· Ability to establish and maintain effective working relationships with colleagues and external contacts.

· Knowledge of office procedures, practices, and the principles and techniques of effective communication.

· Ability to produce high-quality final products within established timelines.

· Competent in organizing files and records, using correct spelling, punctuation, and grammar, and typing letters and standard forms in the proper format

 

Preferred Qualifications: 

· At least two years of experience in secretarial, administrative support, or office clerical work.

· Proficiency in Microsoft Office Suite, with strong skills in Excel and in creating detailed, accurate notes in Word.

· Knowledge of MyFloridaMarketPlace, the Purchasing Card system, STMS and Works, and State of Florida purchasing processes is preferred.
