The Work You Will Do:
Support Specialist in the Executive Suite
This role provides comprehensive support to Executive Management by handling all travel-related documentation, including statewide and out-of-state travel, and travel blankets. It involves processing travel arrangements, registrations, reservations, and reimbursements, while ensuring compliance with the latest rules and procedures. Additionally, the position coordinates work assignments, schedules meetings, and maintains confidentiality. It also assists in executive administrative support, manages office correspondence, and maintains records, ensuring smooth operations for the Central Office Executive Suite.

Your Specific Responsibilities:
Provides direction, support and processes all travel related documentation for Executive Management. This includes but not limited to Statewide Travel, Out of state travel, and travel blankets. Provides direction on and interpretation on travel requests, reimbursements, and other related department policies and procedures. Stays current with the latest changes on rules, procedures, and processes related to travel. Processes travel arrangements, taking care of registration, reservations, travel authorization and reimbursement for the unit. Prepare and process necessary forms through the authorization and payment system in the State Travel Management System (STMS), PWorks, coordinating with the traveler on deadlines.
Plans, coordinates, and organizes work assignments and projects. Maintains confidentiality on all issues. Processes correspondence and requests for staff and management. Coordinates, schedules and set-up conferences and meetings for the Office/Section. Proofreads reports and correspondences for staff. Performs special assignments, research and report preparation.
Assist the Senior Support Specialist in executive administrative support to the Assistant Secretary for Engineering in Operations (ASEO). Assist in the management of all administrative functions and processes for the Central Office Assistant Secretaries and District Secretaries. Provide support in meetings, training, and other related administrative functions.
Establishes and maintains files and records of office correspondence, documents, reports and other materials.

Minimum Qualifications:
- Obtained a High School Diploma or Certificate of High School Equivalency. Prior experience operating a personal computer for word processing and/or spreadsheets; and Prior experience following agency or employer established policies and procedures.
