This open competitive advertisement is for a Career Service position located at Central Office in the Office of Information Technology.

The mission of the Office of Information Technology at the Florida Department of Corrections (FDC) is to provide innovative, reliable, and secure technology solutions that support the department's strategic goals and operational needs. The Office of Information Technology aims to enhance efficiency, improve service delivery, and support the FDC's mission to create a safer Florida for its citizens.

This position is not a telework position and is required to report to the FDC office in the area it serves.

 

JOB DUTIES:

  • Support OIT Workflow: Assist the OIT Bureau Chief of Business Solutions with managing administrative programs, including contract/vendor management, procurement, and IT audits, ensuring high customer service and satisfaction.
  • Customer Service Excellence: Ensure OIT services are delivered with high customer service and satisfaction.
  • Consult and Coordinate: Serve as a consultant for contract management, vendor management, invoice approvals, and procurement coordination.
  • Manage Contract and Compliance: Develop and manage OIT contracts and agreements, staff augmentation contracts, contract management plans, and ensure compliance with contract terms, provide technical assistance, and corrective action guidance.
  • Invoice and Records Management: Review and verify vendor invoices for accuracy, ensure timely payments, and maintain accurate transaction records.  Reconcile invoice payments and assist in routine file audits to support records management activities.
  • Staff Management: Conduct evaluations, manage onboarding and resignation/termination processes, and oversee timesheets for staff-augmented personnel, ensuring adherence to policies and procedures.
  • Facilitate Meetings and Documentation: Lead or participate in stakeholder and vendor meetings, manage contract processes and documentation, assist with audits, and develop procurement documentation in collaboration with the OIT Procurement Manager.

  • Ability to resolve or promptly escalate problems or grievances (3-day policy).
  • Ability to resolve or escalate worker or management conflicts.
  • Ability to conduct necessary human resource functions.
  • Ability to lead executive-level meetings and document outcomes.
  • Ability to manage internal and external relationships.
  • Ability to conduct or attend staff meetings, create agendas, PowerPoint slides, and report meaningful outcomes.

REQUIREMENTS:

  • Must be proficient in Microsoft Office applications.

  • Must have experience in assessing financial consequences.
  • Must have experience in reviewing, analyzing, and evaluating data.
  • Must have experience entering transactions in My Florida Marketplace.
  • Must be familiar with state purchasing requirements, including section

287.057, Florida Statutes.

  • Must have four (4) years of experience in contract management.
    • Postsecondary education may substitute on a year for year basis for the required experience.

BACKGROUND SCREENING REQUIREMENT

The Florida Department of Corrections requires all job applicants and volunteers to pass a Level 2 background check as per Chapter 435, Florida Statutes. This check must be completed before they can start working or volunteering.
