Administrative Assistant I / Facilities Management
This position will provide administrative support to the Facilities Management office.

Your Specific Responsibilities:
Assists in managing the overall administrative functions of the Facilities Management office. Assists in planning, organizing, and coordinating work assignments and projects. Researches subjects, coordinates information and creates documents, spreadsheets, and reports. Reviews documents for accuracy and completeness. Coordinates, schedules, and sets up meetings, conferences, trainings, interviews, etc. for the Office/Section. Provides direction and assistance to staff on personnel rules, travel requests/reimbursements, and other department policies and procedures. Uses electronic mail, Word, Excel, SharePoint, Teams, FDOT Service Center Portal, and other computer systems/databases used by Facilities Management. Assists vendors and customers who call, e-mail, or visit the Facilities Management Office. Reserves and coordinates meeting spaces for use by other FDOT districts, State of Florida entities, and other approved entities.
Procures services, equipment, furniture, centralized supplies, print center supplies, other supplies, and utilities for the District Seven Headquarters facility and Fixed Capital Outlay projects. Completes and submits Information Resource Requests (IRRs)and SharePoint Purchase Requests. Makes travel arrangements and processes travel documents. Prepares and processes financial paperwork for purchases made by Electronic Procurement Requisitions, Local Purchase Orders, and Purchasing Card charges using current state computerized systems/programs and follows current directives and procedures. Processes purchasing card charges according to procedure. Receives, reviews, and processes invoices/warrants in accordance with provisions and requirements of Section 215.422 F.S. Vendor invoice/warrant processing is required to perform these duties.
Serves as the District Seven Surplus Property custodian. Accurately processes, tracks, stores, and disposes of surplus property for the district according to established procedures. Provides training, guidance, and information to unit surplus property contacts. Serves as the District Seven Records Management Coordinator. Follows established records management procedures, rules, instructions, and processes. Maintains an electronic file for the disposition of records and a log of all records that are destroyed. Receives, reviews, and processes Records Disposition Requests and maintains Records Disposition Requests files for audit. Serves as Unit Custodian. Maintains accurate records and inventory of all cost center property. Conducts annual inventory and ensures property is transferred in accordance with processes and procedures.
Assists with tracking and reporting operating budget expenditures and encumbrances for the Facilities Management cost center.
Submits Property Management Reports (PMRs) as needed. Serves as Unit Custodian, maintains accurate records, and inventory for all cost center property. Conducts annual inventory and ensures property is transferred in accordance with processes and procedures. Updates and maintains the Facilities Management SharePoint site. Serves as timekeeper. Serves as backup for creating employee/consultant/contractor ID badges/access cards.
Serves as a backup to the Front Desk Receptionist for the District Seven Headquarters. Provides backup administrative/secretarial support to other departments in the Executive Direction & Support Services budget entity.
Maintains electronic and paper file systems, correspondence, meeting minutes, personnel actions, and other related documents. Prepares Facilities Management files for retention and handles archive issues for the cost center. Prepares Records Destruction Requests.

Minimum Qualifications:
- Two years of administrative or clerical experience.
- An associate's degree from an accredited college or university can substitute for the required experience.
