The Work You Will Do:

Administrative Assistant II / District Seven / Director of Transportation Development / District Design

 

This position will provide administrative assistance to the Design Engineer and staff.

Your Specific Responsibilities:

Manages the overall administrative functions of the office. Serves as central control of personnel actions including hiring and classification actions of positions. Maintains confidentiality on all issues. Stays current and provides direction regarding rules, procedures, and processes related to Human Resources, purchasing, travel and all other administrative functions. Tracks position vacancies and provides status as requested by management. Independently maintains office environment to assure personnel have proper working conditions.

 

Supervises subordinates in support of the Design’s department’s clerical functions and oversees training needs of these positions.

 

Prepares and maintains fiscal budget, which includes assessment of needs, preparing budget, tracking expenditures and maintaining budget reports. Processes purchases orders and invoices utilizing the department’s applications; ensuring charge codes and documentation is accurate and completed in a timely manner. Holds and maintains purchasing card and processes charges in compliance with current procedures and with adherence to required timeframes.

 

Serves as the Property Custodian, processing Property Management Records (PMR) for inventory management and property control. This requires knowledge of surplus procedure and process.

 

Serves as the Public Records Requests (PRR) coordinator for records review between the public and the department. Obtains requested information from appropriate units within the Design department within required timeframe.

 

Assists the District Design Engineer with administrative functions and correspondence and acts upon as required (non-engineering correspondence and budget related issues), including updating and maintaining the District’s Workplace Contingency Plan.

 

The Successful Candidate will have the following required Knowledge, Skills, and Abilities:

 

Knowledge of:

  • Knowledge of administrative principles and practices.
  • Knowledge of office procedures and practices.
  • Knowledge of the principles and techniques of effective communication.

Skills in:

  • Skill in collecting, evaluating and analyzing data relating to administrative functions such as budgeting, human resource management personnel, purchasing or report writing.
  • Skill in written and verbal communication.
  • Skill in reading, interpreting, communicating applicable rules, regulations, policies and procedures.

Ability to:

  • Ability to collect data relating to administrative functions such as human resources, purchasing or report writing.
  • Ability to prepare correspondence and administrative reports.
  • Ability to understand and apply applicable rules, regulations, policies and procedures.
  • Ability to work independently.
  • Ability to handle confidential information.
  • Ability to plan, organize and coordinate work assignments.

Minimum Qualifications:

  • Three years of administrative experience or an associate's degree from an accredited college or university and one year of administrative experience.
