INTRODUCTORY STATEMENT:  The Office of the Attorney General, Department of Legal Affairs (OAG) is a pre-eminent, constitutional office, which serves as the chief lawyer to all state agencies and provides legal protections for Floridians against fraud and through the enforcement of the state’s laws. The OAG, is a cabinet agency in the executive branch of Florida state government.

OAG employees are paid biweekly.  All state employees are required to participate in the direct deposit program pursuant to s. 110.113 Florida Statutes.

 

MINIMUM REQUIREMENTS:

Three years of secretarial or clerical work experience; or possession of a Certified Professional Secretary Certificate.
 

College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.
 

Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.


A high school diploma or its equivalent can substitute for one year of the required work experience.

 

JOB SUMMARY:

Transcribe from handwritten notes, taped dictation or computer generated files, letters, memos, rules, statutes and various legal pleadings such as briefs, memoranda of law, motions, etc., for filing in various courts. Responsible for knowing format requirements of different documents which often vary from court to court. Understands internal rules and operating procedures of state and federal courts. Uses typewriter and personal computer system with high degree of skill. 

 

Word process as required written briefs, responses and pleadings using appropriate formats, including Tables of Contents and Table of Authorities, preparing necessary number of copies and within assigned deadlines. Prepare travel vouchers, make travel arrangements, respond to telephone inquiries as appropriate. 

 

Independently generates letters to State Attorneys and victims in accordance with policy manual, promptly notifying victims once a decision is issued. 

 

Maintains, prepares and reviews State Appeals and/or Habeas Corpus pleadings. 

 

Maintain an organized filing system, including pleading files for each attorney, which is easily accessible by staff members. 

 

Prepare for archiving mandated cases for your attorney which include making sufficient labels, making sure all pleadings are in file and all volumes of records are included. 

 

Assist other secretaries and attorneys as directed.

 

Maintain calendar of due dates, oral arguments, hearings for each attorney.

 

Be familiar with and utilize the case tracking system. 

 

Assist in answering incoming calls on breaks and lunch hour on a rotation schedule.
