Your Specific Responsibilities:
This is a professional position assisting the field office in the Office of Medical Marijuana Use (OMMU). The position is responsible for, processing travel authorizations, researching and gathering data, preparing draft reports and correspondence, inspecting MMTCs and interpreting policy in order to provide guidance and assistance to further the achievement of the goals of OMMU. Runs reports in the compliance management and licensing system used by the OMMU to assist managers and inspectors in managing their workload. Prepares and issues correspondence for cases as needed. Conducts fleet management responsibilities for OMMU vehicles consistent with state and departmental rules and policies. Creates and maintains maintenance schedules, trip logs, and vehicle assignment trackers. Duties include coordination of monthly vehicle inspections, monthly logs, Sun Pass requests, Data Fuel Card requests, and vehicle accidents. Assist with inspection activities related to medical marijuana cultivation, processing, dispensing, delivery, storage, and seed-to-sale operations of MMTCs to ensure that all procedures, goods and equipment comply with statutory requirements.
Prepare written reports to document inspection findings. Initiate notices of noncompliance and work with management to communicate and resolve findings. Acts as the property delegate, ensuring accurate records are maintained. Responsible for surplus equipment processing and handling incoming new equipment. Oversees all supplies, furniture and equipment, including computer needs, equipment repairs, and records keeping. Processes travel reimbursements and authorizations via the State Travel Management System for office staff, ensuring departmental procedures are followed. Monitor and process Inspection zzz box in accordance with OMMU guidelines. Prepares monthly meeting agendas and minutes for office staff. Records attendance and disseminates minutes to office staff. Coordinates with OMMU HQ for procurement preparation and approval. Tracks purchase orders and invoices to ensure timely submission to Finance & Accounting and ensure invoices are correct prior to submission. Assists manager with training and orients new staff with paperwork for employment. Assists with scheduling interviews and coordinates with candidate for fingerprint appointment. Serves as safety coordinator. Conducts office safety inspections designed to identify and eliminate unsafe working conditions and practices. Other duties as assigned.
Required Knowledge, Skills, and Abilities:
Knowledge, skills and abilities, including utilization of equipment, required for the position: Proficient computer skills to include Word, Excel, PowerPoint and Outlook; knowledge of computer data bases; knowledge and use of the compliance management system and licensing system used by the Agency; knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar; communicating effectively with others in writing; listening to what other people are saying and asking questions as appropriate; talking to others to effectively convey information; understanding written sentences and paragraphs in work related documents; knowledge of laws, legal codes, court procedures and government rules & regulations; knowing how to find information and identifying essential information; observing, receiving, and otherwise obtaining information from all relevant sources; providing information to supervisors, fellow workers, and subordinates; knowledge of office procedures and practices; ability to prepare correspondence and administrative reports; ability to plan, organize and coordinate work assignments; entering, transcribing, recording, storing, or maintaining information in either written form or electronically.
Licensure/registration/certification requirements: Possession of valid Driver’s License
Qualifications:
Minimum:
- High school diploma or equivalent; AND
- 2 years administrative experience to include processing travel authorization, researching and gathering data, preparing reports and correspondence, answering phones and scheduling meetings.
- A valid Driver’s License, participation in direct deposit, satisfactorily complete a background investigation, and fingerprinting are requirements for employment.
Preferred:
- Experience working with the State Travel System (STMS)
- Previous inspection support experience
