POSITION DESCRIPTION:
Assists customers by gathering information as needed and responding to telephone calls, voicemails, emails/written inquiries, and walk-ins. Prepares e-mails, spreadsheets, reports, agendas, forms, memoranda, letters, and other correspondence. Creates documents and reports using Microsoft Excel, Microsoft Word, and PDF programs. Operates standard office equipment such as computers, copiers/printers, scanners, and fax machines. Proofreads documents and reports. Disseminates information as needed. Schedules meetings and appointments. Reserves meeting spaces and equipment.
Serves as Property Management Recording System (PMRS) Coordinator. Prepares forms and coordinates the transfer or disposal of state property. Assists with the disposal of surplus property. Assists with control of the scanning equipment, verifies operating capabilities of scanning equipment, and coordinates scanning equipment repairs as needed. Locates and scans assigned property and equipment for the Financial Services Office and Office of Information Technology during the annual inventory process.
Maintains electronic and physical records. Scans and files documents. Prepares Records Disposition Requests for records that have met retention and disposes of files in accordance with policies and procedures.
Organizes and coordinates special projects. Researches subjects as needed. Follows-up and with staff/customers/vendors as needed. Notifies manager(s)/supervisor(s) of issues and ensures deadlines are met.
Updates and maintains the District Seven Office of Information Technology and Financial Services Office SharePoint sites. Ensures links are working properly, content is up to date, and that sites are fully functional.
Submits requests for centralized supply orders. Coordinates the agency’s procedural document reviews for the district as needed. Serves as Unit Training Coordinator for Financial Services. Makes travel arrangements. Prepares and processes travel documents and reimbursements using current agency/state computerized systems/programs. Provides back up secretarial/ clerical support and telephone coverage to other departments/offices in the division as needed. Provides back-up coverage to the District Seven Headquarters Switchboard Operator/ Receptionist as needed.
KNOWLEDGE, SKILLS AND ABILITIES: ABILITY TO LEARN PROPERTY MANAGEMENT PRINCIPLES AND PROCEDURES; KNOWLEDGE OF RECORD KEEPING TECHNIQUES; ABILITY TO REVIEW DATA FOR ACCURACY AND COMPLETENESS; ABILITY TO ACCESS, INPUT, AND RETRIEVE INFORMATION FROM A COMPUTER DATABASE; SKILLED IN THE USE OF COMPUTER SOFTWARE INCLUDING WORD AND EXCEL; ABILITY TO FOLLOW ORAL AND WRITTEN INSTRUCTIONS; ABILITY TO COMMUNICATE EFFECTIVELY ORALLY AND IN WRITING; ABILITY TO BE PROACTIVE AND WORK INDEPENDENTLY; SKILLED IN ORGANIZING RECORDS AND HANDLING MULTIPLE TASKS; ABILITY TO MEET DEADLINES; ABILITY TO DEAL WITH INTERNAL AND EXTERNAL CUSTOMERS IN A COURTEOUS MANNER.
MINIMUM QUALIFICATIONS: A high school diploma or equivalent and prior experience in an office environment.
