The Florida Department of Health (DOH) is responsible for the health and safety of all citizens and visitors to the state. As a public health agency, the Florida Department of Health must monitor the health status of Floridians, diagnose, and investigate health problems, and mobilize local communities to address health-related issues. The Florida Department of Health develops policies and plans that support health goals, enforce laws and regulations that protect the health of all residents and visitors, and link people to needed health care services. The Florida Department of Health also provides specialized assistance to pregnant women, infants, and children with special health care needs, regulates health care practitioners, and provides medical disability determinations.
Staff Assistant:
This is a paraprofessional position assigned to the Subsidized Health and Referral Programs (SHaRP) Program Office located at DOH-Hillsborough, Community Health Division. Based in Tampa, this team member is responsible for assisting the Senior Human Services Program Analyst-SES and the Human Services program Analyst in providing technical assistance, quality assurance, and programmatic monitoring of the Breast and Cervical Early Detection and Title X Sterilization Programs. This is a highly responsible, full-time position, in which the incumbent must be able to work independently and is detail-oriented in reviewing and approving program eligibility applications for the program areas mentioned above. The position requires a thorough knowledge of public speaking, training skills, strategic thinking, the ability to use Microsoft 365, the ability to multi-task and handle face-to-face interactions, the ability to establish and maintain effective working relationships, the ability to work with diverse populations, and the ability to adhere to security policies and maintain confidentiality. Strong written and verbal communication skills required for internal and external communication. Position may require occasional local travel.
The Staff Assistant should have a good rapport with internal and external customers, display a positive attitude, work in a flexible manner, be approachable, and work independently under the supervision of the Senior Human Services Program Analyst-SES. This position is part of a public health organization and is expected to promote cooperation, courtesy, and teamwork in a diverse environment, while adhering to policies, procedures, laws, and statutes established by DOH-Hillsborough, the State of Florida, and the Centers for Disease Control and Prevention.
Your Specific Responsibilities:
The incumbent in this position is responsible for registering clients, obtaining accurate demographical and financial income eligibility information in systems such as the Volusia Database, as well as making and notifying clients of appointments. Incumbent helps the Senior Human Services Program Analyst-SES in case management for women with normal and abnormal screenings and makes appropriate referrals for the Florida Breast and Cervical Cancer Early Detection Program.
Makes appointments and notifies clients with abnormal screening results of their appointments to ensure that they receive the appropriate diagnostic screening appointments within a 60-day timeframe. Assists or resolves operational problems for the program with providers/partners.
Responsible for faxing normal and abnormal referrals and/or provider’s appointment list to Clinic sites. Also responsible for inputting of budget expenditures in the Volusia database system for all client billings. Assists in the reconciling payment invoices and in data collection. Prepares and submits Patient Reporting Forms to the State Health Office in Tallahassee.
Other Duties:
• Assists in different community outreach activities, which may include
evenings or weekends. Attends meetings, in-service programs, and
workshops to update skills. Assist with developing of marketing
materials for outreach meetings and events.
• Utilizes own vehicle for transportation unless alternate transportation
is provided.
• Ensures completion of and timely submission of all administrative
records necessary including Employee Activity Report (EAR),
timesheets, mileage, etc.
• Promotes and participates in continuous process improvement
activities. Promotes and practices the mission, vision, and values of
the DOH-Hillsborough.
• Assists with other Community Health activities or data needs.
- Attends and participates in approved in services, trainings, and staff meetings.
Required Knowledge, Skills, and Abilities:
- Knowledge of the structure and content of the English Language, as well as a foreign (non-English) language such as Spanish, the meaning and spelling of words, rules of composition, grammar and pronunciation.
- Knowledge and proficiency with computers and various computer programs.
- Knowledge of general office procedures and practices and ability to develop and implement office procedures.
- Knowledge of correct grammar usage and ability to prepare reports and correspondence.
- Knowledge of basic math and ability to perform basic math calculations.
- Ability to follow instructions and to plan, organize and coordinate work activities.
- Ability to review data for accuracy and completeness.
- Ability to communicate effectively and to establish and maintain effective working relationships with others.
- Ability to organize and maintain filing systems.
- Must be able to lift, stack, and organize boxes, cases, equipment, and other work-related items weighing up to 40 lbs.
- Experience preparing health-related materials such as reports, brochures, etc.
- Strong oral and written communication skills, High level of proficiency in Microsoft Word, Excel, and PowerPoint.
- Ability to prioritize work.
- Fast and accurate data entry skills.
Qualifications:
- Minimum:

- 1 year of customer service experience in a fast-paced environment.
- 2 years of experience entering medical/demographical information into a database.
- 2 years of experience with Microsoft Excel.
- Valid Florida Driver’s License or the ability to obtain one within 30 days of employment.
- Strong oral and written communication skills
- High School Diploma or GED
- Bi-lingual in reading and writing in both English and Spanish fluently.
