STAFF ASSISTANT

 

This is a complex and highly responsible, full time position, providing administrative and technical support to the Breast and Cervical Cancer Early Detection Program team. Incumbent should demonstrate attention to detail, respect for confidentiality, strong oral and verbal communication skills and proficiency in Microsoft Word, Outlook, Excel and PowerPoint. Must be comfortable managing multiple computer-based systems. Strong written and verbal communication skills required for internal and external communication, and document/material creation and review.  Proficient in Microsoft Word, Excel and PowerPoint required. Position requires occasional local travel.  This is a sensitive position and requires dealing with confidential information daily. Applicant must work independently, prioritize, plan, and coordinate work assignments so that deadlines are met.

 

Responsibilities include:

 

  • Assures eligibility for Florida Breast and Cervical Cancer Early Detection Program (FBCCEDP) per federal and State guidelines.
  • Works with contracted Program Providers and individuals setting appointments and issuing vouchers.
  • Monitors incoming e-fax records.
  • Maintains, organizes, inspects and files electronic medical records and documents.
  • Creates or updates client registration in specified systems (e.g., Health Management System (HMS), Volusia County Breast and Cervical Cancer (BCCP)).
  • Collects and enters demographic data and medical histories into Volusia BCCP computer system.  Inputs appropriate comments and notes regarding client’s demographic, health or financial status, as necessary.
  • Assist as a back-up for outreach events and/or activities (Set-up tents, tables, etc.)
  • Processes medical claims for reimbursement and reconciliation of payments
  • Provides appropriate referrals to the Health Department and other agencies for specified follow-up, consultation and additional assistance.  Shares information about available community services and access.
  • Provide administrative support to the School Health nursing program as needed.
  • Maintains a current Florida Driver’s License and uses own personal vehicle for travel, being reimbursed per the State of Florida rate if needed.
  • Must be able to lift, stack, and organize boxes, cases, equipment, and other work-related items weighing up to 40 lbs. 
  • Assist with developing of marketing materials for outreach meetings and events.
  • Other related duties as assigned by supervisor.

 

 

Minimum Qualifications:

 

  • High school diploma or GED equivalent
  • Valid Florida driver’s license or able to get one within 30 days of hire.
  • At least three years’ experience using Microsoft Office Suite, primarily Excel
  • At least two years’ data entry experience
  • At least one year experience scheduling appointments and meetings in a work environment
  • Strong oral and written communication skills

 

Other Desirable Qualifications:

 

  • Experience preparing health-related materials such as reports, brochures, etc.
  • High level of proficiency in Microsoft Word, Excel, and PowerPoint
  • Ability to prioritize work
  • Fast and accurate data entry skills
  • Bilingual

 

Knowledge, Skills and Abilities:

 

  • Knowledge of administrative office procedures and practices.
  • Ability to organize files, records and/ or other materials.
  • Knowledge of principles and techniques of effective communication, oral and written.
  • Knowledge of methods of data collection. Skills in accurate data entry.
  • Strong proof reading and editing skills.
  • Ability to understand and apply application rules, regulations, policies and procedures.
  • Ability to work effectively within a team-based work group.
  • Ability to deal with the public in a tactful, courteous manner and to resolve conflict independently. Ability to perform basic arithmetic calculations.
  • Ability to work independently and follow written/ verbal instructions.
  • Ability to utilize problem-solving techniques.
  • Ability to establish and maintain effective working relationships with others.
  • Knowledge of standard business styles for letters and memos.
  • Intermediate to advanced skills with Microsoft Excel, Word and PowerPoint.
