EXAMPLES OF WORK

Work the front desk of the service center greeting customers and the public. Answering and transferring phone calls to the appropriate contact.

Have excellent customer service skills.

Maintains files and control records to show status of action in processing correspondence.

Investigates discrepancies in reports and records and confers with personnel in affected departments to ensure accuracy and compliance with procedures.

Compiles data from records to prepare periodic reports and track records.

Sorts or classifies information, according to content, purpose, user criteria, or chronological, alphabetical, or numerical order.

Locates and retrieves files upon request from authorized users.

Places materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information.

Removes or destroys out dated materials in accordance with file maintenance schedules or legal requirements.

Scans or reads incoming materials to determine filing order or location.

Assigns and records or stamps identification numbers or codes to index materials for filing and tracking assignments.

Inspects or examines materials or files for accuracy, legibility, or damage.

Inserts additional data on file records.

Authorizes or documents materials movement, using logbook or computer and traces missing files.

Directs filing and cross indexing of selected documents in alphabetical and chronological order.

Prepares document descriptions and reference aids for use of archives, such as accession lists, cross-reference materials and microfilmed documents.

Applies policy guidelines concerning public access and use of materials.

The incumbent assigned to this position is responsible for receiving, reviewing and assigning all abuse reports received from the Florida Abuse Hotline. Additionally, the incumbent follows up with the appropriate supervisory personnel to ensure they are aware of the pending investigation and staff assignment. This enables the supervisor to ensure the Child Safety Risk Assessment is completed within the prescribed timeframes.

Print and review all abuse reports received from the Hotline and OTI requests called in from other counties. This requires coordination with the Florida Abuse Hotline Information system (FAHIS), Child Information System (CIS) and Florida Safe Families Network (FSFN). Review appropriate databases for the previous or open investigations and child family involvement with other family safety programs. Provides clerical support for a multi-function Family Safety Unit. This employee functions on an independent level while performing a variety of duties, which require initiative and sound judgment.

Prepares intake case records for Child Protective Investigator for cases received over the Child Abuse Hotline. Case is then assigned in Florida Safe Families Network (FSFN) and CPI is notified. This same procedure is followed for any Out-of-town Inquiry Request that is received. Assign cases to CPI or CPI Supervisor ,Package investigation information

Conduct diligent searches , Archives case files ,Maintain rotation and case logs

Type up mileage for investigators and other DCF staff.

Assist on archiving case files including typing up and mailing out closure letters.

Assist on setting up incoming investigation case files for the investigators.

Working Hours : Daily- Monday - Friday from 8:00 AM to 5:00 PM (1 hour lunch) , Total 40 hours weekly.
