This posting is for an Administrative Assistant II position located at the Department of Environmental Protection’s Southwest District Office, in Temple Terrace.

 

This is a position that is responsible for a wide variety of moderately complex administrative support duties in the Business Planning Program.  This position provides administrative support for the various programs within the district office. The incumbent will be involved in a wide range of assignments including database entries, processing final action documents and other administrative duties.  This is a position of trust.   Actively supports and works toward fulfilling the Agency’s Affirmative Action objectives.

The Southwest District Office is located in Temple Terrace, a small city just outside of Tampa. Your Specific Responsibilities:

 

In carrying out the duties of this position, the incumbent is expected at all times to be aware of and abide by the Department’s Standards of Conduct, as well as any and all departmental and/or work unit rules, directives, policies, procedures, and/or general orders applicable to performing the duties of this position. If position is supervisory, incumbent is also expected to actively support and work toward fulfilling the Agency’s Affirmative Action objectives. Will conduct organizational studies and evaluations on office procedures providing technical assistance and developing procedures to assist the program  to operate more efficiently and effectively.

General Processing and Administrative Functions

This position coordinates with all clerical staff to ensure all aspects of document processing and communications are addressed and assigning workload from multiple mailboxes.   Maintain an understanding of programmatic changes, including database entry and application coding. Perform administrative functions to include maintaining calendars, processing correspondence for review and final signature. Provides information and referral duties, in person and by telephone, as well as taking and routing messages for all District staff members.  Gives general information regarding services rendered by the Agency as well as locations and services offered by other agencies.  Records and issues security passes for staff and visitors.  Performs other duties as assigned by supervisor, including assistance of other sections and District clerical personnel.  These duties might include duties associated with other staff positions on an as-needed basis.

 

Fleet Support

•        Interfaces directly with vendors regarding fleet repairs, preventive maintenance, recalls and tire replacements

•        Assists with FLEET and WexCard transactions, property and records management functions as needed

•        Coordinates the entry of data and maintains database for the FLEET system. Also serves as a back-up in sending out initial notifications and reminders to vehicle custodians regarding vehicle preventive maintenance requirements based upon the FLEET system reports and the Bureau of General Services.

 

Permitting & Engineering Program Support

Maintain a general working knowledge and understanding of Permitting program functions, databases and processing needs to assist with new incoming applications and related submittals, conduct initial coding and database entry and route applications for further processing.  Provide other assistance including preparation and completion of final permitting-related documents for Oculus entry and mail-out; other assistance as needed.

 

Cash Receiving Program Support

This position is part of the Cash Receiving team. Responsibilities include: Ensuring permit applicant checks are logged and received permit applications are screened for the Department area and delivered to each appropriate program area for fee review.  This position is responsible for safeguarding the District’s permit application checks until the checks are locally deposited.  Processes incoming funds such as penalties, subpoenas, copies, cash, reimbursements, restitution, permit application fees, etc. and links the checks in CRA to the permit applications in PA, WAFR, and DARM.  Responsible for the strict adherence to the written revenue processing policies and accounting procedures for incoming funds.  Processes fee requests and check returns.    Generates code changes and corrections requested from program staff.  Researches checks as to the related program area, add-on fee, site numbers and accuracy of OGC case numbers and notes as such into CRA. 

 

Compliance Assurance Program Support

Maintain a general knowledge and understanding of Compliance Assurance Program (CAP) functions, databases and processing needs to assist the CAP program, including preparation and completion of final CAP documents for Oculus entry and issuance for electronic and/or traditional postal service mail.  Monitor incoming email in boxes for compliance submittals, log into appropriate database and route accurately.  Receive new complaints, gather appropriate information, and enter information into complaint routing system, and provide other assistance as needed.

Knowledge, Skills, and Abilities:

  • Knowledge of standard business formats and styles for letters and business forms.
  • Knowledge of computer entry.
  • Knowledge of the technique for handling telephone calls in a courteous and tactful manner.
  • Ability to use correct spelling, punctuation, and grammar.
  • Ability to type letters, permits, memoranda and other standard business forms in correct format.
  • Ability to organize, plan and coordinate work assignments.
  • Ability to communicate effectively verbally and in writing.
  • Ability to establish and maintain effective working relationships with others.

  • Ability to perform basic arithmetical calculations.
  • Ability to proofread completed documents and makes necessary corrections.

Required Qualifications

  • Associate's degree from an accredited university or college; or any combination of post-secondary education or verifiable related experience, as described in this posting, for a total of two years
