This posting is for an Operations Analyst II position located at the Department of Environmental Protection’s Southwest District Office, in Temple Terrace.
This position is a varied and complex administrative position requiring a highly responsible professional who will report directly to the Program Administrator. The incumbent will be involved in a wide range of assignments including database entries, processing final agency action documents and other administrative duties. Actively supports and works toward fulfilling the Agency’s Affirmative Action objectives.

Where You Will Work:
The Southwest District Office is located in Temple Terrace, a small city just outside of Tampa. Tampa is close to the Gulf Coast with beautiful white sand beaches. Your Specific Responsibilities:
This varied and complex administrative position requires a highly responsible professional who will report directly to the Program Administrator. This position provides full performance level administrative support for the various programs within the district office. The incumbent will be involved in a wide range of assignments including database entries, processing final agency action documents and other administrative duties. This position is a position of trust.
CAP and Permitting Program Support – Provides Regulatory support in the following areas:
Receive new incoming applications and related submittals, logging information on data entry forms including but not limited to initial coding, application fees, and database entry and route application for further processing, in accordance with the Department policies and procedures. Monitor databases, ensures consistent update, and provide reports to Administrator or Manager as requested. Provide other assistance to the Permitting and Engineering program, including training of clericals and professionals; preparation and completion of final permitting-related documents for Oculus entry and mail-out; other assistance as needed.
Maintain working knowledge and understanding of Compliance Assurance Program (CAP) programmatic area functions, databases and processing needs. Receive new complaints, gather appropriate information and enter information into complaint routing system. Provide other assistance to CAP program, including training of clericals and professionals; preparation and completion of final CAP documents for Oculus entry and issuance; other assistance as needed.
General Processing and Administrative Functions
Coordinates with other clerical positions and Management to ensure all aspects of document processing and communications are addressed. Provides Training to Business Planning staff and professionals as necessary. Keep abreast of programmatic changes, including database entry and application coding. Implement the principles of total quality management (i.e. continuous improvement) and LEAN methodology to reduce waste and provide services that add value for all customers.
The incumbent is part of the team responsible for the district’s Cash Receiving Application Program. Responsibilities include ensuring permit applicant checks are logged and received permit applications are screened for the department area and delivered to each appropriate program area for fee review. This position is responsible for safeguarding the district’s permit application checks until the checks are locally deposited. Processes incoming funds such as penalties, subpoenas, copies, cash, reimbursements, restitution, permit application fees, etc. and links the checks in CRA to the permit applications in PA, WAFR, and DARM. After the processing is completed a cash listing is due by the following Friday. Responsible for the strict adherence to the written revenue processing policies. Practices accepted accounting procedures at all times and all levels. Assists users as necessary with data retrieval. Processes fee requests and check returns. Generates code changes and corrections requested from program staff. Researches checks as to the related program area, add-on fee, site numbers and accuracy of OGC case numbers and notes as such into CRA.
The incumbent will be part of a team assisting with the training and guidance of the district’s interns. This includes the collaboration of training and tracking for both staff and interns.
Provides information and referral duties, in person and by telephone, as well as taking and routing messages for all District staff members. Assist with answering and routing of all incoming telephone calls to the appropriate section or individual from the central switchboard. Takes and relays messages for personnel when they are unavailable. Greets, announces and directs visitors to the appropriate areas and issues visitor identification badges. Gives general information regarding services rendered by the Agency as well as locations and services offered by other agencies. Records and issues security passes for staff and visitors. Serves as backup for clerical positions as needed. Performs special assignments and other related duties as assigned by the Program Administrator.

Required Qualifications
- Bachelor’s degree from an accredited university or college; or any combination of post-secondary education or verifiable related experience, as described in this posting, for a total of four years
