The Florida Fish and Wildlife Conservation Commission (FWC), Fish and Wildlife Research Institute (FWRI), is seeking qualified applicants for an OPS Administrative Assistant I at the Tequesta Field Laboratory. 

Minimum Qualifications:
Two years of direct professional experience in an administrative support position. An Associate’s’ degree from an accredited college or university and one year of administrative experience; or a bachelor's degree from an accredited college or university can substitute for the required experience.

 
Preferred Qualifications: 

Preference may be given to candidates with one or more years of experience working with the State of Florida’s Purchasing System (FLAIR, MFMP, PCard); one or more years of experience working with the State Travel Management System (STMS); possess a Florida notary license.

 

Requirements:

Employment in this position is contingent upon a satisfactory Level 1 background check at no cost to the candidate. 
 

Office hours are from 8:00 A.M. to 5:00 P.M. Eastern Standard Time, Monday through Friday. Not eligible for Telework.

Position Overview and Responsibilities:

The position provides administrative/secretarial support to the facility manager and onsite personnel. Primary duties will include assisting the facility manager with day-to-day operations, coordinating office-related purchasing and budget tracking, and serving as the point of contact for business-related and public inquiries. Additionally, the selected candidate is expected to work as an effective member of the office management team and will be responsible for establishing and maintaining contractual services related to facility maintenance and repairs while adhering to all State of Florida law, standards, policies, and procedures. Other duties will include, but are not limited to the following:

 

Review and process payment invoices in a timely manner; prepare and track requisition orders (My Florida Market Place: MFMP); request and obtain quotes/bids for services and equipment; maintain computerized budget files and purchasing records; submit monthly vehicle/vessel logs (Fleetwave and Laserfiche); assist in the management of various grants; assist with property inventory and cataloging efforts; process shipments and deliveries (USPS and/or FedEx); assist with data entry and report preparation as assigned; assist agency staff with the preparation of travel-related documents; participating in public outreach efforts as appropriate; perform other duties as assigned


Knowledge, Skills and Abilities:

Knowledge of general office and administrative procedures and practices; business functions such as purchasing, accounting, and budgeting; use of personal computers and MS Office Suite programs; financial tracking software; the techniques of efficient verbal and written communication.

Skilled in the preparation of spreadsheets and summary reports; data management and record keeping; customer service techniques.

Ability to work independently or part of a team; establish and maintain effective work relationships; prioritize workflow; problem solve and complete complex tasks; communicate effectively with agency staff, business partners, and the public.
