Your Specific Responsibilities:

This position involves a variety of clerical duties at the front desk in the Gilchrist County Health Department. The individual in this position will also be expected to provide coverage for the Dixie/Levy CHD front desks, as needed. This front desk position completes duties according to the Florida Department of Health policies and procedures. This position is supervised and evaluated by the  Administrative Assistant II. 

Answers multi-line phone system.   Assists clients with information regarding Health Department programs, services and eligibility requirements.  Directs customers to other programs and or organizations for services as needed. Schedules appointments in HMS for clients either on the phone or in person and enters client demographic information.  Requests clients to bring required documents to their appointment.    Checks in clients, evaluates family income and or third-party insurance coverage.  Enters information into HMS and scans in signed documents as required. Collects fees and prepares receipts for clients.    Completes Family Planning Medicaid Waiver and Presumptive Eligibility for Pregnant Women (PEPW).  Inputs client services in HMS. 

Completes the marking and billing for clinical and dental services for Dixie, Levy and Gilchrist County Health Departments. Prepares the day sheet at the end of the day which totals the amount of money collected for the daily deposit. Reconciles the daily credit card receipts.  Scans and sends receipts for payment to the billing hub for posting to the client accounts.  Completes the deposit slips and code strips for the deposit and scans the documents into the deposit folder.   Ensures that the deposit is secured in the safe until released to Health Department courier for deposit.  Follows cash box procedures daily.

Serves as vital statistics registrar.   Prepares birth and death certificates for the public and funeral homes according to vital statistics policies and procedures.   Prints Electronic Health Records or photocopies hard copy of medical records when a request for release of medical records is received and mails to the appropriate party or provides to a customer at front desk.

Provides backup for the environmental health clerk. Provides water sample collection bags and instructions.  Receives water samples from customers and collects payment.  Provides basic information to customers, takes messages and calls inspector with urgent questions.

Enters EARs as required.  Attends training as directed by supervisor or as it relates to job duties.  Completes mandatory DOH training in TRAIN annually.

Performs other duties as required.

Qualifications:

Minimum

  • At least one year of work experience that includes entering information into computer applications
  • Have reliable personal transportation
  • Must have working experience with confidential information

Preferred

  • Experience in HMS
  • At least one year experience working with a County Health Department
  • Medical or Dental front desk experience                                                        
  • Customer service experience                     
  • Experience working with money
