This posting is for an advanced level Administrative Assistant III position located at the Department of Environmental Protection's Southeast District Office, in West Palm Beach.

Where You Will Work:

This position is located in West Palm Beach Florida. West Palm Beach is Palm Beach County's capital city and its cultural center. Its active downtown stretches from a scenic pier on the Lake Worth Lagoon to a waterfront Great Lawn, which hosts a weekly green market, outdoor concerts and this season a 35-foot-tall holiday sandcastle.  Dozens of local beaches provide easy access to both the Atlantic Ocean and the Intracoastal Waterway.  Several State Parks as well as National Parks are in the immediate area as well.

Your Specific Responsibilities:

This position is a highly responsible position that will exhibit and implement organizational and time management skills. Supports the Southeast District’s mission, goals, and values. Will conduct organizational studies and evaluations on office procedures providing technical assistance and developing procedures to assist the Southeast District Office to operate more efficiently and effectively.

Review and oversee the creation and establishment of data entry processes of all Permitting/Waste Cleanup Program reports and permit applications including, but not limited to, wastewater, drinking water, underground injection control (UIC), waste, and other program areas.

Update and review the internal and external permit application review tracking as necessary and provide improvements on efficiency to the BP WorkFlow Team, Business Program Administrator and Permitting Program Administrator.

Reviews and monitors the updating of permitting application data in Oculus, WAFR and WARF PA as appropriate to ensure they accurately reflect the required parameters as new facility permits are issued and/or modified. Promote electronic submission of permit data including updates, corrections, and generation of new permitting program templates that are to be used.

Ensure that permit applications are processed timely and accurately in accordance with district expectations and metrics. Ensures all work associated with the permitting functions meets internal and external dashboards and key performance indicators and notifies the Business Planning Program Administrator that expectations and/or metrics are not being met; provides recommendations on how to best meet expectations and/or metrics.

Identify and communicate on potential outreach opportunities through data analysis to assist in facility training/notification.

Provide permitting and/or compliance assistance to regulated facilities as needed; assists the Permitting and/or CAP staff with outreach as needed.

 

Performs related duties as required. including the conducting of meetings, data management, record keeping and streamlining of office procedures and document production. Some travel to support the teams that conduct the site inspections may be necessary.  Assists and backs up other Business Planning team members on an as-needed basis.  Serves on the Business Planning team, performing functions for district phone and guest reception. Works with Business Planning Team members to ensure calls are received and routed appropriately and ensure staffing coverage for same. Ensure guests are greeted and assisted accordingly.

As needed, receives and opens incoming paper mail, stamps documents with date stamp and then scans and distributes it to the various sections, addressees, etc. Receives and ships all packages via 

common carriers, receiving electronic mail, routing as appropriate and filing in the proper electronic filing system, scans incoming paper mail, and properly routing both electronic and paper copies and filing as appropriate, if assigned to do so. Process all outgoing mail as needed.

Assists team on special projects, as assigned. Special projects may be related to general team projects, specific time-oriented tasks or general duties as they relate to the Business Planning and overall district needs. Performs other related duties as required.  Responsible for proper use and care of state-owned property and equipment assigned to this position.  Attends workshops and seminars when requested.

Required Qualifications:
