This position is located in WEST PALM BEACH, FL
Position Overview and Responsibilities:
This position will conduct organizational studies and evaluations on office procedures providing technical assistance and developing procedures to assist the Southeast District to operate more efficiently and effectively.
- Organizational Transitions, Strategic Planning, Operational Efficiencies and Cost Reductions: Assist Business Planning Program Administrator with streamlining operations to accomplish organizational transitions and strategic planning goals. This includes, but not be limited to, tracking and reporting district (workflow) metrics; reviewing and streamlining databases and reporting functions; evaluating operations and seeking out opportunities to increase efficiencies with particular emphasis on Time-To-Process (TTP) permit application metrics, outgoing mail, cost reductions; preparation of a written implementation plan with target dates, projected savings and future recommendations.
- Partnering, In-reach, Outreach and Education: Assist with providing information and technical assistance and coordination to and promote communication with both internal and external customers to advance their understanding of State regulations, policies, procedures and best management practices. Establish and execute targeted training opportunities with District program areas to assure consistent communication, sharing of resources and proper training. In addition, work with District PIO and outreach staff to establish, implement and maintain educational initiatives for local schools and organizations (as needed)
- Business Planning: Serves on the Business Planning team, coordinating and performing functions for district phone and guest reception and conference room reservations. Coordinates and works with Business Planning Team members to ensure calls are received and routed appropriately and ensures staffing coverage for same. Coordinates requests received for meeting rooms, reviews and coordinates the scheduling of meeting rooms. Oversees and monitors district’s outgoing electronic mailbox to ensure returned delivery items are properly routed and in a timely manner. Also responsible for assisting in general administrative duties for the Senior Leadership Team, as needed.
- Special projects: May include but not be limited to: Coordinating general agenda preparation for various meetings, data entry/correction, promotion of paperless initiatives and reporting, preparing travel authorizations and reimbursements for Senior Leadership Team, or any other special projects as assigned. Special projects may also be related to general team projects, specific time-oriented tasks or general duties as they relate to the Business Planning and overall district needs. Performs other related duties as required. Responsible for proper use and care of state-owned property and equipment assigned to this position. Attend workshops and seminars when requested.
- Performs other duties as assigned.
Knowledge of:
- principles and practices of organization, planning, records management and general administration/office management.
- Skilled in writing, analytical and problem‐solving skills.
- Skilled in computer programs including Microsoft Office Suite
- Ability to communicate effectively.
- Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, copiers and facsimile machines.
- Ability to follow oral and written instructions.
- Ability to work well either alone or as part of a team.
Minimum Qualifications:
- Valid Driver License
- Ability to travel, overnight if required
- At least 4 years of verifiable related experience in planning, evaluation, research, analysis, business, government, health or fiscal work. Post-secondary degrees may be used as an alternative for the required years of experience on a year-for-year basis.
Position of Special Trust Requirement:
This position is designated as a Position of Special Trust in accordance with DEP Directive 422, Positions of Special Trust or Responsibility. Successful completion of background screening will be required for this position.
