THIS IS A STATE OF FLORIDA CAREER SERVICE (CS) OPPORTUNITY. 

 

Job Description:

This is a full time Senior Word Processor position, which is in the Division of Blind Services, District 10, West Palm Beach Office.  The employee must be productive under tight timeframes, balance multiple and competing priorities and maintain goal-directed behavior and performance expectations – sometimes under stressful conditions. The employee must maintain and practice a current understanding of FDOE and DBS policies and guidelines regarding information security. The employee must interact courteously with others. The employee must always promote and demonstrate a positive work environment. The employee’s performance and behavior must demonstrate consideration of the workload concerns of others and must not negatively affect productivity and morale of the unit. Attendance is an essential function of this position.  

 

Examples of Work:

•    Independently prepare memorandums, correspondence, reports, spreadsheets, and other documents as directed.
•    Independently and accurately enter data into the AWARE system; this includes processing of purchase orders and invoices for client services.
•    Provide clerical support to professional staff.  This may include copying, faxing, scanning, and/or filing as needed.
•    Assist staff, consumers and the public as needed while providing optimum customer service.
•    Maintain client files as directed. This may include organization, filing, and tracking files as needed.

•    Serve as the Liaison for the District with the Information Technology staff.  This may include follow-up on requests for technical assistance, troubleshooting, etc. scheduling maintenance, and requesting computer/PC equipment. 
•    Process incoming and outgoing mail as assigned. This may include intaking Fed-Ex and UPS overnight packages. 
•    Answer the main switchboard and route calls, take messages, and greet visitors to the office.
•    Serve as the back-up to the Staff Assistant; this may include handling travel reimbursements, authorizations, state vehicle duties, and preparing and routing HR recommendation packets, scheduling interviews, and printing/copying state applications, etc. as needed. 

  • Manage invoices and purchasing orders.

•    Other duties as requested

 

 

Minimum Qualifications:

  • Two years of work experience in the operation of word processing equipment; or
  • Three years of secretarial or clerical work experience; or
  • Possession of a Certified Administrative Professional Certificate.
  • Completion of 720 classroom hours of vocational/technical training in word processing at an accredited institution can substitute for one year of the required word processing experience.
  • College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for a maximum of two years of the required secretarial or clerical work experience or one year of the required word processing experience.
  • Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for a maximum of two years of the required secretarial or clerical work experience or one year of the required word processing experience.
  • A high school diploma or its equivalent can substitute for one year of the required secretarial or clerical work experience.

 

Knowledge, Skills and Abilities:

  • Knowledge of correct spelling, punctuation and grammar usage.
  • Knowledge of letter, report and tabular formats.
  • Skill in typing.
  • Ability to operate word processing equipment.
  • Ability to use correct spelling, punctuation and grammar.
  • Ability to type letters, memoranda, charts and other standard business forms in correct format.
  • Ability to proofread typed material for typewritten and grammatical errors and to make necessary corrections.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
