What you will do:
This position is within the Central Service Area of Florida on the General Services Team. This is NOT A TELEWORK position and will report to the Wildwood office. The Incumbent will support the Central Florida Service Area performing property inventory and management tasks, records management tasks, fleet management, facility oversight, safety administration, relocation services, minor maintenance tasks and some purchasing related tasks through approved vendors. This position will require occasional travel in the Central Service Area, primarily from Ocala, Florida to Sebring, FL, with occasional travel outside of this service area.
Normal hours for this position will be 8:00 AM to 5:00 PM Monday through Friday excluding state holidays. Incumbent may be required to work a longer shift or a modified schedule for special projects with occasional travel.
How you will make an impact:
Duties Include:
• This position serves as the Records Management Liaison Officer for the service area and as such will be responsible for vendor management that deliver records storage, retrieval, transportation, cataloging, retention and disposal in accordance with established policy and statute.
• Shall serve as the Property Custodian Liaison for the service area in accordance with CFOP 80-2 and as such duties will include annual inventory of all accountable assets, maintain records of accountable assets from acquisition to disposal and keep records of such, update asset management records in the agency software systems that track property when items are received or disposed of. Manage disposal or reallocation of excess or surplus equipment. Coordinate tracking of contractor assets with local contract managers and coordinate disposal disposition of property items as required. Manage property transfers for the service area to maintain control and accountability of assets.
• This position may be responsible for updating the insurance policy information for all building, contents, fire, theft, auto and casualty requirements and processing of related claims for incidents / accidents.
• This position shall serve as the Safety Officer for the Service Area to include coordinating safety committees, coordinating and reviewing accident claims, workers comp claims, coordinating corrective actions, safety inspections of facilities and coordinating vehicle accident claims.
• This position shall be responsible for Facility Management programs in the service area, to include, maintaining the workorder system to manage facility maintenance requests, meeting with building management staff for inspections, dealing with poor performing landlords for required corrective actions, managing related renovation projects with contractors, space allocation for operational needs and assisting with relocation services as needed when offices move.
• This position shall perform purchasing duties to procure and manage goods and services required to support General Services operations in the service area and will be required to maintain a state p-card.
• Perform light maintenance tasks for HVAC, Electrical, Plumbing, and Door Hardware for all facilities and warehouses in the Central Florida Service Area. This may also include obtaining quotes and scheduling vendors to assist in repairs when needed.
• Provides support and assistance relating to fleet management, and any other General Services related tasks as needed.
• Assist the Central Florida Service Area during hurricane response or activations.
• Some daytime travel with occasional overnight travel within the Central Florida Service Area.
• Use of ladders and equipment to perform required maintenance duties.
Minimum Qualifications:
• Two years General Services related work experience, and a high school diploma or its equivalent. Advanced education from an accredited university or college can substitute on a year-to-year basis of the required work experience.
• Must possess a valid driver’s license.
Preferred Qualifications
• Experience with building maintenance functions and preventative maintenance tasks for multiple buildings.
• General Services and/or Facilities experience.
• State of Florida Property and Inventory experience.
• Records Management Systems experience.
• Customer service experience.
Knowledge, Skills, and Abilities:
• Principles and practices of facilities maintenance, preventative maintenance, and property management.
• Knowledge of the purchasing rules and regulations as outlined in FS 287.
• Understand and apply applicable rules, regulations, policies and procedures.
• Ability to use step ladder and lift up to 50 lbs.
• Develop various reports.
• Communicate effectively.
• Establish and maintain effective working relationships with others.
• Ability to utilize problem-solving techniques and make independent decisions in accordance with documented processes.
