MINIMUM REQUIREMENTS:
A high school diploma or its equivalent and three (3) years of secretarial or clerical work experience; or
College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience; or
Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.

JOB DUTIES:
GENERAL STATEMENT: This position serves as an office assistant and provides administrative support to the Bureau of Plant Inspection. The incumbent assists in all facets of coordinating and reporting activities.
Reviews reports submitted by field staff and enters data in relevant databases. Ensures billing information is accurate and up to date in Plant Pay Dynamics. Receives and properly routes telephone calls, emails, and Helpline tickets, facilitating timely responses to requests.
Conducts fiscal activities for the Regional Administrator. Activities include preparing requisitions and purchase orders, assembling and gathering signatures for recurring bill forms, processing and submitting invoices and contract summaries, maintaining vendors’ contact information and accessing and inputting information into the Administrative Image Management (AIMS) system.
Responsible for reviewing and preparing a summary of vehicle reports, checking the accuracy of submitted information, and inputting necessary data into the Florida FleetWave system. Submits requests for corrections to information in the FleetWave system to the Property Office.
Responsible for ordering office supplies and uniforms. Develops and maintains a digital log of all orders placed, verifies accuracy upon receipt, and processes invoices for items received.
Makes travel arrangements for trainings and workshops, including assisting with hotel reservations, and prepares State Travel Management System (STMS) trip forms as needed.
Conducts annual inventory verifications.
Assists with emergency program functions as needed, including designing forms, spreadsheets, and charts for documenting program information.
Liaises with other departments, agencies, and divisions as needed by the Regional Administrator.
Performs related work as directed by management.
