This position, an employee of the Nassau County Health Department (NCHD), works to protect, promote, and improve the health of all people in Florida through integrated state, county, and community efforts. This position will provide clerical services under DOH local and state policies, procedures, and guidelines
Your Specific Responsibilities:
Direct Client Clinical Services:
- Interview clients to determine eligibility of health care services provided by NCHD on established criteria and perform updates as required.
- Programs include but are not limited to Primary Care, Family Planning, Presumptive Eligibility for Pregnant Women (PEPW), County Medical Indigent Program (CMIP), Charity Care and We Care.
- Verify and collect client and family income, residency, insurance status and other demographic and personal data as required.
- Scan copy of insurance card and driver’s license into client EMR.
- Register client and make appointment into appropriate clinic based on client needs and clinic guidelines and give client appointment card.
- Encourage patient to register for text message appointment reminder notices.
- Correctly complete Initiation of Service form and have client sign on first day of service and scan into client EMR. Assure a release of records is obtained for all record request you are asked to complete and scan per guidelines. Greet clients and visitors, making sure all clients sign in for appointments.
- Encourage all clients to complete client satisfaction survey before leaving clinic.
- Enter all data from client encounter form on DOS, ensuring all data is entered correctly.
- Assure any client entered under Program 23 has a birth control method entered for that DOS.
- Collect fees on DOS and remind patient of outstanding balances.
- Upon request from parent or nurse enter shot records into FL Shots.
- Create 680’s upon request for nurse to review and sign. Assure correct insurance information is entered into notepad in HMS for children receiving shots in the FL Shots system and nurse is aware of what data to enter in FL Shots via guidelines.
Indirect Client Clinical Services:
- Prepare client record for clinic ensuring all forms are included in intake folder.
- Prepare billings, run end of day reports, balance cash drawer, and prepare weekly deposits per NCHD policy. Reschedule clients and notify clients of any appointment changes when necessary and complete reminder recalls for client appointments.
- Answer phone, screen calls, receive and relay client phone and verbal messages to appropriate staff in timely manner.
- Receive all mail and stamp with date received and place in appropriate staff mailbox.
- Check eFax as assigned and forward to appropriate staff per guidelines.
- Check manual faxes received and stamp with date received and assure appropriate staff receive their faxes via mailbox or in person depending on urgency.
- Make copy and mail medical records to Social Security and other medical facilities per guidelines and maintains medical record disclosure log in patient EMR.

- Knowledge of clinic clerical practices, policies and procedures and the ability to apply them.
Qualifications:
Minimum-
- High school diploma
- Knowledge of administrative and clerical procedures and systems
- Knowledge of computer software including applications
- Excellent communication and interpersonal skills
Preferred-
- High school diploma/GED
- 2 years’ experience as a clerk/receptionist in a medical office.
- Bilingual – English and Spanish
